What a Bookkeeper Actually Does for You Each Month
Bookkeeping is the unglamorous discipline of recording every dollar that enters or leaves your business and putting it in the right bucket. Done well, it is invisible: you open a report and the numbers simply make sense. Done poorly, it shows up as a surprise tax bill, a loan officer asking questions you cannot answer, or a year-end scramble through shoeboxes of receipts.
When you hand your books to Agile, the routine work looks like this:
- Downloading and categorizing transactions from every business checking, savings, credit card and merchant account
- Matching deposits to invoices and payments to bills so receivables and payables stay accurate
- Reconciling each account to its statement, line by line, every month
- Flagging personal charges, duplicate entries and transactions that need a receipt or a note from you
- Recording loan payments correctly, separating principal from interest
- Keeping sales tax collected in its own liability account rather than mixed into revenue
The goal is a ledger your CPA or tax preparer can trust without rebuilding it in April.
Owners Who Get the Most Out of Outsourced Books
Not every business needs a dedicated bookkeeper, but many reach a point where doing it yourself costs more than it saves. Our bookkeeping clients tend to fall into a few groups:
- Solo service providers — consultants, contractors, cleaners and designers who are great at the work and tired of evening data entry.
- Retail shops and restaurants with daily card batches, cash sales and sales tax to track.
- Growing LLCs and S corporations that just hired their first employees and need the books to line up with payroll.
- Owners who fell behind — a year or two of unrecorded activity, a lender waiting, or a notice from the state.
- Spanish-speaking entrepreneurs who want explanations in the language they think in, not just translated forms.
If you are spending more than a few hours a month on your books, or you avoid opening QuickBooks altogether, outsourcing is usually the right call. For brand-new ventures, our page on bookkeeping for New Jersey startups covers setup from day one.
How We Take Over Your Books, Step by Step
Switching bookkeepers sounds disruptive. In practice, the transition takes a few weeks and most of the lifting is on our side.
- Free consultation. A 30-minute call to understand your entity type, accounts, software and pain points.
- Read-only access. You grant view access to bank feeds and your accounting file; we never need your banking passwords.
- Health check. We review your chart of accounts, open reconciliations and any stale balances, then tell you plainly what is broken.
- Cleanup or catch-up, if needed, bringing prior months current.
- Monthly close. From then on, we close each month on a set schedule and send your reports.
- Quarterly check-in. A short review of trends, upcoming tax deadlines and questions.
We work in QuickBooks Online most often; if you are weighing software, our QuickBooks ProAdvisor support explains how we set it up properly.
The Reports Landing in Your Inbox
Every month you receive a closed set of books and a short package of reports. Typical deliverables include:
| Deliverable | What it tells you |
|---|---|
| Profit and loss statement | Whether you made money and where it went |
| Balance sheet | What you own, what you owe, and your equity |
| Bank and card reconciliation reports | Proof that the books match your statements |
| Accounts receivable aging | Who owes you and how late they are |
| Accounts payable aging | Which bills are coming due |
| Open-items list | Questions we need you to answer |
For lenders, investors or partners who need a more formal package, we offer financial statement preparation built on the same reconciled ledger.
New Jersey Details That Trip Up Do-It-Yourself Books
Generic bookkeeping advice often ignores state-specific wrinkles. A few that matter here:
- Sales tax at 6.625% must be tracked as a liability, not income, and reported on Form ST-50 each quarter. Mixing it into revenue overstates your sales and complicates filing. We coordinate with our quarterly sales tax service so the numbers tie out.
- Payroll liabilities such as state withholding, unemployment and disability contributions need to reconcile to what is reported on the NJ-927 and WR-30 each quarter.
- Urban Enterprise Zone businesses may collect a reduced sales tax rate on qualifying sales, which requires careful coding.
- Cross-border activity. Many Central Jersey businesses sell into New York or Pennsylvania, which can create obligations in those states too.
Rules and rates change, so we watch for updates and adjust your setup rather than assuming last year's treatment still applies.
What Drives the Cost of Bookkeeping
We quote a flat monthly fee after the consultation rather than billing by the hour, so you know your cost in advance. The fee depends on a handful of factors:
- Transaction volume across all accounts each month
- Number of accounts — bank, credit card, loan, merchant processor and payment apps
- Complexity such as inventory, job costing, multiple locations or classes
- Condition of the books when we start; catch-up work is quoted separately
- Extras like bill pay, invoicing, or integration with payroll and sales tax filing
A sole proprietor with one bank account and a single card costs far less to serve than a restaurant with daily deposits and three processors. We will explain exactly what is included before you commit.
Bookkeeping as the Foundation for Everything Else
Clean books are not the finish line; they feed every other decision you make. Reconciled numbers let you price jobs accurately, apply for financing, issue year-end 1099s without guesswork, and estimate your quarterly taxes. Speaking of which, the Calculator button at the top of this page opens our free Quarterly Tax Estimator — it works best when you plug in profit figures from books that are actually current.
Many clients start with bookkeeping and later add payroll processing or strategic guidance through our accounting and CFO services. You can see the full menu on our bookkeeping and financial reporting overview or learn more about Natalie Montealegre and how the firm works.
Answers
Frequently Asked Questions
Do I need to switch to QuickBooks to work with you?
Not necessarily. QuickBooks Online is our preferred platform because it connects to most banks and lets us collaborate with you in real time, but we can review other systems during the consultation. If moving makes sense, we handle the migration and set up the chart of accounts so your history carries over cleanly.
How often will I hear from my bookkeeper?
You receive your closed books and reports once a month, plus a short list of any transactions we need you to explain. Beyond that, you can call or email with questions whenever they come up. Quarterly, we schedule a brief review to look at trends and upcoming filing deadlines together.
Can you fix books that are a year or more behind?
Yes. Catch-up bookkeeping is common, especially for owners who got busy or lost a previous bookkeeper. We gather statements, rebuild each month in order, and reconcile as we go. Once you are current, we can move straight into regular monthly service so the backlog does not return.
Will you file my income tax return?
We are not a CPA firm and do not sign business income tax returns. Our role is to deliver accurate, reconciled books that your CPA or tax preparer can work from quickly. We are glad to coordinate directly with your preparer and send them the year-end package they request.
Do you work with businesses outside New Jersey?
Yes. Most of our bookkeeping is done online, so we also serve owners in Pennsylvania, New York and Delaware. In-person meetings are available by appointment in Old Bridge. Reach out through our contact page or call (732) 200-2514 to schedule your free consultation.
