Growth Paperwork

Paperwork That Moves Your New Jersey Business to Its Next Stage

Some of the most important documents your company will ever produce are not tax returns. They are a loan application, a business plan a banker actually reads, a license that lets you open your doors, and the payroll records an insurance auditor asks for. Agile Business Accounting prepares that paperwork for New Jersey owners, with help in English and Spanish.

When the Business Needs More Than Bookkeeping

There are turning points in the life of a company, and they almost always come with a stack of forms. You want to open a second location, so you need financing. You're signing a commercial lease, and the landlord wants to see a plan. Your town requires a mercantile license before the grand opening. Your workers' compensation carrier sends a letter scheduling a premium audit for next month.

None of these are daily tasks, and that's the problem. Because you only face them once every year or two, there's no routine to fall back on. You end up learning the process under deadline pressure, usually while you're still running the business full time.

Agile's business support services exist for these moments. We draw on the same financial records we maintain for bookkeeping and payroll clients, which means the numbers in your loan package match your books and your audit file matches your payroll reports. If we don't already keep your books, we start by organizing the records the project needs. Either way, you get a finished, consistent document set rather than a pile of half-completed forms.

Four Projects We Take On

Most requests fall into one of these categories, and many owners need two or three of them in the same year:

  • SBA loan applications. We assemble the financial statements, projections, debt schedules and personal financial information lenders ask for under SBA programs such as 7(a), 504 and microloans. Our SBA business loan application service explains the package in detail.
  • Business plans. A written plan with market research, an operations section and three-year financial projections, built for a lender, an investor or your own decision-making. See business plan creation.
  • Permits and licenses. Researching which state, county and municipal approvals apply to your activity and location, then preparing the applications. Details are on our permits and license applications page.
  • Insurance audits. Organizing payroll by job classification, gathering subcontractor certificates of insurance and reconciling sales figures for general liability and workers' comp premium audits. Read more under GL and workers' comp audit support.

A Look Inside a Typical Engagement

Every project is a little different, but the rhythm is consistent:

  1. Free consult. In 30 minutes we learn the goal, the deadline and what records exist today.
  2. Document request list. You get a written checklist tailored to the project, not a generic form.
  3. Records review. We check that bank statements, payroll reports and prior returns tell a consistent story, and fix the books first if they don't.
  4. Drafting. We prepare the plan, schedules, application or audit file and flag anything that needs your input.
  5. Owner review. You read the draft, ask questions and approve it. Nothing goes out without your sign-off.
  6. Submission support. We help you submit, then keep the file so follow-up questions from a lender, a town clerk or an auditor get answered quickly.

The New Jersey Layer

Doing business in New Jersey means dealing with state agencies and with your own municipality, and the two don't always talk to each other. Some points that come up often:

  • Nearly every business needs a state business registration certificate, and many public contracts and vendor relationships ask to see it.
  • Zoning, certificates of occupancy, signage and health permits are handled locally, so the requirements in Old Bridge can differ from those a few towns away in Edison or Sayreville.
  • Certain occupations, from home improvement contractors to cosmetology, require state licensing or registration before you can work.
  • New Jersey requires most employers to carry workers' compensation coverage, so the annual premium audit is a fact of life for almost every company with staff.

Expanding across the river? We also support owners forming companies in New York through our New York business formation and accounting service and registering in Pennsylvania through Pennsylvania business registration help.

What You Walk Away With

Deliverables depend on the project, but here's what owners can expect:

Project Typical deliverables
SBA loan package Year-to-date and prior-year financials, debt schedule, cash flow projection, organized supporting documents
Business plan Written narrative, market and competitor section, startup or expansion budget, three-year projections
Permits and licenses Requirement research summary, completed applications, renewal calendar
Insurance audit Payroll by class code, subcontractor certificate log, sales reconciliation, audit-ready binder

Many lenders want current, well-organized financial statements as a baseline. If yours aren't ready, we can prepare them as part of the same engagement.

Records Worth Pulling Together Before We Talk

You don't need a perfect file to book the consultation, but having a few items on hand lets us give you a realistic timeline right away:

  • The last two years of business tax returns, plus personal returns for any owner with 20% or more
  • Year-to-date profit and loss statement and balance sheet, even rough ones
  • Current business bank and loan statements
  • Payroll summaries by quarter, especially for an insurance audit
  • Your formation documents, EIN letter and New Jersey registration certificate
  • Any letter, notice or checklist you've already received from a lender, town or carrier

If several of these are missing, that tells us something useful too. It usually means the first step is getting your books current, and we can handle that in the same engagement.

What Drives the Cost of a Project

We quote each project after the consult, not from a rate card, because scope varies so much. These are the main factors:

  • Condition of your records. Current, reconciled books make everything faster. Catch-up bookkeeping adds time.
  • Complexity. A single-location service business is simpler than a multi-entity operation with real estate.
  • Deadline. Rush timelines, like a lender closing date next week, take priority scheduling.
  • Number of agencies. A license that needs state, county and town approval involves more coordination.
  • Ongoing support. Some owners want renewal tracking or audit prep every year, which can be bundled.

We never promise a loan approval, a license issuance or a specific audit result. Those decisions belong to lenders, agencies and insurance carriers. What we promise is a complete, accurate and well-organized submission. To talk through your project, call (732) 200-2514 or reach us through the contact page.

Answers

Frequently Asked Questions

Can you guarantee my SBA loan will be approved?

No one honestly can. Approval depends on the lender, your credit, collateral, cash flow and SBA program rules. What we can do is make sure the financial side of your application is complete, consistent and easy for an underwriter to follow, which removes one of the most common reasons applications stall or get sent back for more documents.

I just received a workers' comp audit notice. Is it too late to get help?

Usually not, though sooner is better. Send us the notice and we'll check the audit period and the records requested. We then organize payroll by classification and collect certificates of insurance from your subcontractors. Missing certificates are a frequent reason premiums jump, because auditors may treat uninsured subcontractor payments as your own payroll.

Do I need a business plan if I'm not applying for a loan?

Not always, but many owners find a written plan useful when signing a lease, bringing in a partner or deciding whether an expansion makes financial sense. Projections show you where cash will run tight before it happens. We can prepare a shorter internal plan that focuses on the numbers rather than a full lender-style document.

Do you meet in person for these projects?

Most work happens online, which suits owners across New Jersey, Pennsylvania, New York and Delaware. If you prefer to review documents face to face, we meet by appointment at our Old Bridge office. In-person signings can also be combined with notary services when a document needs to be notarized.
