A State Where the Address Changes the Math
New York's sales tax starts with a 4% state rate, then adds county and city portions that vary across the state. Inside New York City the combined rate is 8.875%, while Long Island, Rockland and Orange counties each have their own combined rates. A Bronx bakery, a Nassau County hair salon and a contractor working jobs in both Queens and Rockland can each be charging different percentages on the same type of sale.
For bookkeeping, that means tracking not only how much tax you collected but where each taxable sale took place, because New York's sales tax returns ask for receipts broken out by jurisdiction. We configure your point-of-sale and accounting software to capture that detail, reconcile collected tax against your returns, and keep the supporting records together. Rates are revised periodically, so we confirm the current figure for each locality rather than carrying old settings forward.
Payroll Reporting in New York
Employers in New York file the NYS-45 each quarter, which combines state withholding, unemployment insurance contributions and wage reporting in one return. Federal Forms 941 and 940 run alongside it. Beyond those, New York requires employers to address items such as paid family leave and disability benefits coverage, along with wage notices for new hires. Requirements evolve, and some differ for New York City employers.
Here is how we typically structure payroll for a New York client:
- Confirm registrations with the state for withholding and unemployment insurance.
- Set up employee records, pay schedules and any required wage notices.
- Run payroll on your schedule, with direct deposit and pay stubs.
- File the NYS-45 and federal returns each quarter and reconcile them to the payroll register.
- Prepare W-2s and 1099-NECs in January, with contractor forms due January 31.
Our payroll processing services page describes the platforms we use and the reports you receive each pay period.
From the Five Boroughs to the Hudson Valley
The New York counties we serve have very different small-business landscapes:
- Kings and Queens. Restaurants, groceries, salons, construction trades and creative studios, many family-run and many owned by immigrant entrepreneurs.
- The Bronx. Neighborhood retail, transportation and home-health businesses where bilingual communication is often essential.
- Richmond (Staten Island). Contractors, medical and dental practices, and retailers serving a more suburban borough with close ties to Central Jersey across the Outerbridge and Goethals bridges.
- Nassau County. Professional practices, boutiques and home-service companies with suburban customers and commuting owners.
- Rockland and Orange counties. Hudson Valley contractors, farms, tourism businesses and owners who regularly work in New Jersey too.
Wherever you operate, we adapt your bookkeeping cadence to your sales volume and your filing frequency.
Building a New York Business From Day One
Starting fresh in New York? The early decisions about entity type, bank accounts and registrations shape your bookkeeping for years. We help new owners organize their startup costs, open their accounting file correctly and prepare for their first sales tax and payroll filings. LLC owners should also be aware of New York's publication requirement after formation, which we add to their checklist so it is not overlooked. Our New York business formation accounting page walks through those first months in more detail.
For established companies, the focus shifts to clean monthly closes, cash flow forecasting and financial statements that lenders and partners can rely on. If you are applying for an SBA loan, we assemble the statements, projections and business plan narrative that the lender typically requests, without promising approval.
Coordinating With Your Tax Preparer
We are not a CPA firm. What we provide is the steady, accurate bookkeeping and payroll record that your CPA or enrolled preparer needs to file business and personal returns. At year end we deliver a closing package with reconciled balances, payroll totals, fixed asset additions and a summary of owner draws or distributions.
Owners who prefer an integrated approach can also look at our New York small business tax preparation support, where we organize everything for filing in coordination with your chosen professional. Throughout the year, the free Quarterly Tax Estimator behind the Calculator button helps you see what to reserve before each federal estimate on April 15, June 15, September 15 and January 15.
When Your Business Crosses the Hudson
A remarkable number of our New York clients have a connection to New Jersey: an owner who lives in Bergen County and runs a shop in Manhattan, a Staten Island contractor with jobs in Middlesex County, or an Orange County firm selling into Sussex County. Working in two states means two sets of registrations and careful sourcing of wages and sales.
We keep each state's activity distinct in your books so returns on both sides are supported by clean data. Our New Jersey business financial services page covers the Jersey obligations, and you can see the entire service area we support. Meetings happen by video or phone, and owners can also visit our Old Bridge office by appointment. Call (732) 200-2514 to schedule your free 30-minute consultation.

Answers
Frequently Asked Questions
My Brooklyn shop sells online to customers in other counties. Which rate do I charge?
New York generally sources sales to where the customer receives the item, so shipments to another county may carry that county's combined rate rather than the 8.875% New York City rate. We set up your sales system to apply destination rates and to report receipts by jurisdiction on your return.
What is the NYS-45 and how often is it due?
The NYS-45 is New York's quarterly combined employer return, covering state income tax withholding, unemployment insurance contributions and wage reporting. It is generally due at the end of the month following each calendar quarter. We prepare and reconcile it with your payroll records every quarter.
Can I work with you entirely in Spanish?
Yes. Our founder, Natalie Montealegre, is fully bilingual. Many owners in Queens, the Bronx and Brooklyn prefer to discuss payroll, sales tax notices and financial statements in Spanish, and we are happy to communicate and prepare summaries that way.
I live in New Jersey but my business is in New York. Can you help with both?
That is one of our most common situations. We record your New York business activity in your books with clear state-level coding and coordinate with your preparer, who handles nonresident and resident returns. Keeping both sides organized throughout the year reduces surprises at filing time.
